Automatic Pipeline Updates
Most CRMs die because nobody keeps them up to date. Proppy's pipeline updates itself every day, so your stages always reflect reality.
What Proppy does for you
Moves each deal forward
When a prospect asks about a listing for the 2nd time, books a viewing on it, or the viewing happens, Proppy advances that one deal's stage immediately. Other deals for the same prospect stay where they were. You never have to drag cards around a board.
Archives quiet deals
Once a night, Proppy scans deals (not prospects) for ones that have gone cold:
- After 7 days - Deals that got a single inquiry and no booking get archived as low engagement.
- After 14 days - Deals that were engaged or viewing-scheduled but have no upcoming viewing get archived as stale - no booking.
- After 30 days - Anyone else sitting idle gets archived as auto-archived.
Because the scan runs per deal, an active conversation about one listing will not archive another listing's deal with the same prospect.
Separately, if a contact has no active deals and hasn't messaged you in 30+ days, the contact itself is marked dormant and moved out of your Active scope. Co-broker contacts are never contact-level archived, because the relationship matters even when no specific deal is in flight.
Restores them if they come back
If the prospect asks about that specific listing again (or books a viewing on it), Proppy auto-restores the deal to whatever stage it was in before archive. No opportunity is ever permanently lost to archiving.
Important: Only system-archived deals come back this way. If you manually marked a deal as Lost - Not interested, Lost - Budget, Lost - Chose another listing, etc., Proppy respects your decision and doesn't restore it.
Why this matters
Without auto-archive, your pipeline slowly fills with leads that went nowhere. "Waiting for reply" counters become useless because they're swamped with prospects who stopped caring weeks ago.
With auto-archive, your active pipeline is always right now - people who are actually engaged with you.
You're always in control
You can override any automatic change:
- Manually move a prospect to a different stage at any time from their CRM tab
- Mark someone as Lost with a specific reason to prevent auto-restore
- All automated changes appear in the prospect's Activity log so you can see exactly what Proppy did and when
The system is transparent
Every automatic change is recorded in the prospect's Activity log with a clear note like:
- Deal stage changed from New Lead to Engaged (auto-advance, 2nd inquiry on that listing)
- Deal stage changed from Engaged to Viewing Scheduled (auto-advance, booking created)
- Deal archived (stale_no_booking)
- Deal restored from archive to Engaged
Each entry includes which listing and deal it refers to, so you can trace exactly what happened across all the deals a prospect has with you.
