Hot Leads and Scoring
Every prospect gets a score from 0 to 100 showing how likely they are to close. You'll see it as a coloured badge on their profile and on your Dashboard.
What the score means
- 80-100 - Hot. Book-ready. Respond within minutes.
- 50-79 - Warm. Worth a same-day follow-up.
- 20-49 - Cool. Keep in the pipeline, check in over the week.
- 0-19 - Cold. No action urgent unless they message you.
What makes a score go up
Proppy bumps a prospect's score based on real signals of interest:
- Their stage - Further along the pipeline = higher score. Viewing Scheduled beats Engaged, Offer beats Viewed.
- How many messages they've sent - Active conversations score higher.
- How recently they've been in touch - Today beats last week.
- Which listings they've asked about - Asking about the same listing multiple times is a strong signal.
- Whether they've booked a viewing - Booking is the biggest single boost.

On your Dashboard
The Hot Leads panel shows your top 5 scored prospects. Click any of them to open their profile.
On each prospect
Open any prospect and you'll see their score next to the stage pill at the top of the CRM tab.
In the Prospects list
You can sort by score to see everyone ranked.
Using the score well
- Start your day with the top 5. A 30-second WhatsApp ping to your hottest leads beats an hour of scheduled follow-ups.
- Don't chase the zeros. A 0-19 prospect is usually cold for a reason. Focus your time where it converts.
- Watch for jumps. If a New Lead suddenly jumps to 60, it means they've been active - check their chat.
Tip: Scores update automatically as prospects engage. You don't need to do anything to keep them fresh.
